Privacy Policy

This page explains, in plain English, what personal data we collect for UKIBS Artists, why, and the choices you have. We follow India's Digital Personal Data Protection Act, 2023 (the “DPDP Act”).

1. Who we are

UKIBS Artists (ukbeautyacademy.in) is a free portfolio service run by UK International London Beauty School (“UKIBS”, “the academy”, “we”). For the purposes of the DPDP Act, the academy is the Data Fiduciary for the personal data described here.

2. What we collect

From artists (students & graduates)

When you fill the portfolio form at a UKIBS branch, or later update your dashboard, we collect:

  • Identity & login: your name, 10-digit mobile number (used as your login), password (stored encrypted — we can never see it), and optionally your email and gender.
  • Profile: headline, bio, city/area, studio address (optional), years of experience, languages, specialities, services and prices.
  • Contact & social: WhatsApp number, Instagram, Facebook or YouTube links you choose to add.
  • Photos: your profile photo, cover photo and portfolio pictures. We re-save every photo and remove hidden camera data (EXIF, including GPS location).
  • Training: your UKIBS course, branch, completion date and certificate number, and any outside certificates you add.
  • Guardian details: if you are under 18, your parent or guardian's name and consent.
  • Usage: when you last logged in, and simple counts of how many people viewed your page.

3. Why we use it

We use this data only to:

  • create, host and show your public portfolio so clients can find and contact you;
  • list you in the artist directory and show a “Certified by UKIBS” badge when your certificate is verified;
  • let anyone confirm a UKIBS certificate on the verify page;
  • pass enquiries from clients to you, and show you visitor statistics;
  • log you in, keep your account secure and help you if you forget your password;
  • review photos and content to keep the platform safe and professional.

We do not sell your data, show third-party advertising, or use your data for purposes unrelated to your portfolio.

We process your data on the basis of your consent, which you give when you sign the portfolio form (and a guardian signs for anyone under 18). Your consent is free, specific and informed — you can withdraw it at any time (see Your rights). If you withdraw consent, we will take your portfolio offline and delete your data, except anything we must keep by law (for example, academy enrolment records).

5. What is public — and what is not

Your portfolio is public once it is published. Anyone on the internet can see:

  • your name, headline, bio, city, services and prices, approved photos and your certificates;
  • your WhatsApp button and any social links you add.

Your mobile number stays private unless you turn on “show my phone number” in your dashboard. The same applies to your email. Your password, guardian details, login history and the academy's internal notes are never public. Search engines such as Google may index public portfolios.

6. Photos & client consent

By uploading a photo you confirm that you took it or have the right to use it, and that every person shown in it has agreed to it being published online. Please do not upload photos of children without their parent's permission. If you are shown in a photo on this site and did not agree to it, contact us and we will remove it promptly.

7. Visitors & enquiries

When a visitor sends an enquiry, we collect their name, mobile number, the service, event date and message, and pass them to that artist. We store a one-way scrambled version of the sender's IP address (not the address itself) to stop spam. We count page views without tracking cookies or third-party analytics. A small session cookie is used to keep forms secure and artists logged in.

8. Sharing & storage

  • Only authorised academy staff can see artist data that is not public, and only to run this service.
  • Data is stored on secure servers of our hosting provider, which acts as our Data Processor.
  • We may disclose data if required by Indian law or a lawful order.
  • We keep your data while your portfolio exists. If you ask us to delete it, we remove your portfolio and photos within 30 days.
  • If a data breach affects you, we will inform you and the Data Protection Board of India as required by the DPDP Act.

9. Your rights

Under the DPDP Act you have the right to:

  • Access a summary of the personal data we hold about you;
  • Correct or update it — most of it you can edit yourself in your dashboard;
  • Erase it and have your portfolio deleted;
  • Withdraw consent at any time;
  • Nominate someone to exercise these rights if you are unable to;
  • Raise a grievance with us, and then with the Data Protection Board of India if you are not satisfied.

To delete your portfolio or make any request, visit any UKIBS branch, or contact us using the details below from your registered mobile number or email so we can confirm it is you.

10. Children

If an artist is under 18, we only create a portfolio with the written consent of a parent or guardian, and we do not track or target them in any way. A guardian can ask us to remove the portfolio at any time.

11. Contact & grievances

For privacy questions, deletion requests or complaints, contact the academy's grievance officer:

We aim to respond within 7 days and resolve requests within 30 days. We may update this policy; the date at the top shows the latest version.
